University Standard Agreements
Legal Services has approved a range of Standard Agreements for use by University faculties, departments, schools and centres.
Who Can Sign University Standard Agreements
In accordance with University purchasing procedures and delegations (The Register of Authorities and Responsibilities), Standard Agreements which have been approved by Legal Services may be signed by the authorising Dean, Head of Department or School, Vice-Principal or Deputy Principal (unless he or she is the individual performing the work under the agreement) where
- the amount of the contract is less than $150,000 (AUD)
- there are no changes required to the terms of the agreement or no Special Conditions to be inserted.
You must contact Legal Services if you or the other party wish to change any of the terms and conditions contained in a Standard Agreement or insert Special Conditions into a Standard Agreement. Legal Services must review and approve any such change(s).
Please note: All contracts provided by external parties, any amendments to University of Melbourne Standard Agreements, and all University of Melbourne Standard Agreements over $150,000.00 must come through our office for approval and execution.
Please note: The engagement of independent contractors to provide academic services such as tutoring, demonstrating and lecturing must first be approved by the Provost in accordance with the University's Policy on Categories of Individuals Providing Service or Services to the University (UOM 0103)
How To Use University Standard Agreements
Each Standard Agreement contains Schedules and/or highlighted fields which you must complete.
If a Standard Agreement is to be signed by a Dean, Head of Department or School, Vice-Principal or Deputy Principal please ensure that two original copies are signed, as each party must retain one original signed agreement. The University's original must be sent to Legal Services to be registered with Central Records, and the department should retain a copy for its records. If there is a payment component to the agreement then the department will need to forward a copy to Financial Operations and liaise with them regarding payment. If the agreement will generate revenue for the University then Themis Agreements forms can be downloaded here
Please also ensure that the last party to sign the Agreement completes the date field on the first page of the Standard Agreement.
Standard Agreements are updated regularly, and should be downloaded from the Legal Services website as needed, to ensure that the latest approved version is used at all times.
